These Terms of Service govern your use of the SINCERE Employee Attendance Management System. By accessing or using the system, you agree to comply with these Terms and applicable workplace policies.
1. Purpose of the System
The system is provided to manage employee attendance, work schedules, time entries, attendance requests, leave-related records, and other authorized workforce management activities.
2. Employee Account and Access
You must use only your assigned account and keep your login credentials confidential. You are responsible for activity performed through your account and must promptly report suspected unauthorized access.
3. Attendance Time Entries
When required by your organization, time entries may include the date and time of submission, a photograph or selfie for identity verification, and device location coordinates to verify that the entry was made from an authorized or relevant location. You should only submit attendance entries for yourself and must not intentionally provide false or misleading information.
4. Employee Responsibilities
You are responsible for ensuring that submitted attendance information and requests are accurate. Errors should be reported or corrected through the appropriate attendance correction or request process.
5. Prohibited Use
You must not attempt to manipulate attendance records, falsify photographs or location information, impersonate another person, bypass security controls, access unauthorized information, or interfere with the operation of the system.
6. Workplace Policies and Review
Attendance records and requests may be reviewed by authorized managers, human resources personnel, administrators, or other authorized representatives in accordance with your organization's policies and applicable law.
7. System Availability
The system may occasionally be unavailable because of maintenance, technical issues, network interruptions, or circumstances beyond reasonable control. Employees should follow their organization's alternative attendance procedures when the system is unavailable.
8. Changes to the Service or Terms
The organization may update the system, its features, or these Terms when necessary. Continued use of the system after an updated version is made available may be subject to the revised Terms.

3. Photos and Location Information
When these features are enabled, photographs and location coordinates are collected specifically in connection with attendance verification. Location information is not intended to continuously track employees; it is collected when an authorized attendance action requires location verification.
4. Access to Your Information
Personal and attendance information may be accessed by authorized personnel, including your organization, authorized managers, Human Resources, payroll personnel, and system administrators, only as necessary for legitimate employment, administrative, security, or legal purposes.
5. Sharing of Information
We do not sell personal information. Information may be shared with authorized service providers or parties involved in operating, hosting, securing, or supporting the system when necessary and subject to appropriate safeguards.
6. Security
Reasonable administrative, technical, and organizational measures are used to protect personal information. However, no electronic system can guarantee absolute security.
7. Data Retention
Attendance and related information is retained according to your organization's retention policies and applicable legal, employment, accounting, audit, or regulatory requirements.
8. Your Rights
Subject to applicable law and organizational requirements, you may request access to or correction of certain personal information. Requests should be directed to your employer, Human Resources department, or designated data privacy contact.
